WAGE/BENEFITS

POSITION PURPOSE
This role is responsible for keeping medical records organized, accurate, and up to date to support both patient care and overall operations. The Medical Records Technician works closely with providers and internal teams to ensure documentation is complete, entered correctly, and maintained in line with all privacy and compliance requirements. This position plays a key role in keeping processes running smoothly, including supporting military health system workflows when applicable.

ESSENTIAL FUNCTIONS
  • Maintain, organize, and update medical records in accordance with established policies and regulatory requirements.
  • Accurately enter, review, and verify patient or service member information within electronic medical record (EMR) systems.
  • Ensure completeness and accuracy of documentation, including identifying and resolving missing or incorrect information.
  • Safeguard sensitive information by adhering to HIPAA and applicable privacy/confidentiality standards.
  • Retrieve, file, and distribute medical records as requested by authorized personnel in a timely manner.
  • Assist with audits, inspections, or compliance reviews by preparing and providing required documentation.
  • Utilize medical record systems (e.g., MHS GENESIS, AHLTA, MEDPROS, MEDCHART) to track and manage records, as applicable.
  • Communicate with internal staff, providers, or departments to clarify documentation needs and ensure record accuracy.
  • Support administrative functions such as scanning, indexing, and archiving records in both electronic and paper formats.
  • Follow standard operating procedures (SOPs) and maintain compliance with military or healthcare system guidelines, as applicable.

KNOWLEDGE & EXPERIENCE
  • High School Diploma or equivalent (GED) required.
  • Minimum of one (1) year of experience in medical records management, healthcare administration, or a related medical office environment.
  • Working knowledge of medical records systems, documentation standards, and healthcare administrative processes.
  • Familiarity with military health systems, including MEDCHART, MEDPROS, AHLTA, or MHS GENESIS, highly preferred.
  • Ability to accurately manage, maintain, and organize sensitive medical documentation in compliance with privacy and regulatory requirements.
  • Excellent interpersonal, written, and customer service communication skills.
  • Personal traits of a high-level commitment, motivation, energy, team orientation, professionalism, trust, personal honesty and integrity, and a demonstration of placing others in a place of high value.
  • Must be a U.S. citizen; work sponsorship is not available.


MACHINES & EQUIPMENT
The incumbent must be able to effectively operate the current computer system, telephone system, and other office machines such as a copier.

PHYSICAL REQUIREMENTS
Must be able to lift and carry up to 20 pounds.  Must be able to talk, listen, and speak clearly on the telephone.
*All staff will work onsite at the VT Army National Guard (VTARNG) State Medical Detachment, Green Mountain Armory, Camp Johnson, Colchester, VT 05446.

WORKING CONDITIONS
The incumbent works in an office environment that is not substantially exposed to adverse environmental conditions such as heat, cold, or extreme noise.  Routine periods of being on the phone utilizing a headset, sitting and data keying are required.  Periodic times working at the office site may be required.

Security and privacy training will be provided as part of this role to protect the confidentiality, integrity, and availability of PCS’ associate and customer data.
